Accounting software for multi-currency businesses

Almost every product in this category puts multi-currency behind a paywall, and usually the top one. If you bill across borders, the entry tier you are comparing is not the tier you will be on.

If you bill in more than one currency, the pricing page you are reading is probably not describing the plan you will be on.

Xero puts multi-currency on Established, its top tier. Sage puts both multi-currency invoicing and multi-currency banking on the C$72 Plus plan. Zoho puts it on Professional, two tiers up from free.

That is not a coincidence or a conspiracy. It is real engineering, and vendors know the companies that need it have revenue. It does mean the honest comparison happens one or two tiers above where these products advertise.

The rate question has more than one right answer

For GST/HST, CRA accepts several conversion days — the day the tax becomes payable, the day consideration is paid, or the day you acquired the currency — plus a monthly average rate for the month the tax became payable. Anything outside that list needs approval before you use it.

The permissiveness is the trap. Nothing stops a set of books from converting one invoice at the invoice date, the next at settlement, and a third at whatever the software defaulted to. Each is individually defensible. The mixture is not, and in a month where the dollar moves two cents a year of it drifts far enough to be impossible to explain.

Matching is where it actually breaks

A receipt and the card line that paid it are two events at two rates. They will not be equal, and they are not supposed to be.

Software that assumes otherwise will match on closest amount, which works until it does not. We put ninety Shopify Ads receipts one slot off exactly that way — the first match was wrong, and every subsequent match inherited the error. The ledger accepted all of it. The reconciliation refused to balance, which was the only reason we found out.

The fix is not a better matching algorithm. It is keeping the document attached to the posting so that a wrong match is visible as a wrong match rather than as a number that does not add up three weeks later.

Choosing

Decide whether currency is incidental or structural. If you take one European customer a year, pay for the tier and move on.

If money routinely crosses a border before it reaches you, currency is not a feature you are buying — it is the shape of your books, and the products that tier it are telling you they consider your normal case an edge case.

The options

Best for: Working with an accountant who already lives in Xero, once you have accepted the plan cost.

Watch out: Multi-currency is on the Established plan — the top tier — so a single foreign customer moves your whole subscription.

Best for: Canadian companies that also need GST/HST for CRA and a bilingual interface, from C$23 a month.

Watch out: Multi-currency invoicing and multi-currency banking are both on the C$72 Plus plan, with nothing partial below.

Best for: Companies inside the Zoho suite, where the item list and customer record are already shared.

Watch out: Multi-currency starts at the Professional plan. The free and Standard tiers do not include it at all.

Best for: Wanting the ledger free for unlimited users, or wanting the source and the option to self-host.

Watch out: Free covers one app. A second app moves you to CAD 35.20 per user per month across the team.

Best for: Ecommerce sellers whose currency problem arrives through channel payouts and landed cost.

Watch out: $245 a month, and the Starter plan turns you away if the business is more than four years old.

Best for: North American companies where cross-border is the normal case — USD receipts against CAD card lines, ITCs that depend on documentary evidence, a year-end filed on one side and defensible on both.

Watch out: Ours, and North America only. If you file outside Canada or the US, none of the parts that make us useful apply.

Questions

Why is multi-currency always on the expensive plan?

Because it is genuinely more work to build — revaluation, rate selection, gains and losses that have to land somewhere sensible — and because vendors know the companies that need it are the ones with revenue. That is commercially rational and it still means your first foreign customer arrives as a bill increase.

Which exchange rate am I supposed to use?

For GST/HST purposes CRA accepts the rate on the day the tax becomes payable, the day the consideration is paid, or the day you acquired the currency, as well as a monthly average for the month the tax became payable. Anything else needs the Minister's approval in advance. The hazard is not picking wrong, it is drifting between permitted methods across a year.

Why do my receipts never match my card lines?

Because they are different events at different rates. The invoice is one moment and the settlement is another, and in between the rate moved. A matching engine that assumes they should be equal will find the closest amount instead of the right one — which is how a run of receipts ends up one slot off.

Does free ever work for multi-currency?

Rarely. Wave handles foreign-currency invoices but an invoice with online payments enabled has to be in your business currency. Zoho's free tier excludes multi-currency outright. Odoo's free app is the exception worth checking.
